RHA Skills Website Privacy Statement

1. About this website and who is responsible for your information


The RHA Skills website, www.rhaskills.co.uk, has been developed and is operated by TRS Training Limited with the approval of the Road Haulage Association Limited (“the RHA”).

RHA Skills promotes skills, training and government-funded development opportunities available to employers and individuals in the logistics sector.


Although the RHA has approved the development and use of the RHA Skills website, TRS Training Limited is responsible for operating the website and for the personal information collected through it. For the purposes of UK data protection law, TRS Training Limited is the data controller for personal information collected through this website.


The RHA is not responsible for administering enquiries submitted through the website unless we specifically tell you that your information will be shared with the RHA for a particular purpose.

2. Information we collect

When you contact us or submit an enquiry through the RHA Skills website, we may collect:

  • your name; 
  • your email address; 
  • your telephone number; 
  • your job role; 
  • the  name of your business or organisation; 
  • information you provide about your training, recruitment or skills requirements; 
  • information contained in correspondence between you and TRS Training; 
  • technical  information about your use of the website, such as your IP address, browser, device and interaction with the website; and 
  • your cookie and communication preferences. 


Please do not provide sensitive or special category personal information through the website’s general enquiry form unless we specifically ask you for it and explain why it is required.


3. How we use your information

We may use your personal information to:

  • receive, record and respond to your enquiry; 
  • provide information, advice and guidance about training, recruitment, apprenticeships and funded skills opportunities; 
  • assess your or your organisation’s training and skills requirements; 
  • contact you to discuss the services or opportunities in which you have expressed      an interest; 
  • arrange introductions, meetings or follow-up discussions; 
  • administer and improve the website; 
  • understand how visitors use the website; 
  • keep the website secure and prevent misuse; 
  • maintain appropriate records of our communications; and 
  • comply with our legal, regulatory and funding obligations. 


We will not use information collected through RHA Skills for an unrelated purpose without first informing you and identifying an appropriate lawful basis.


4. Our lawful bases for processing

Under UK data protection law, we must have a lawful basis for using your personal information. Depending on the circumstances, we may rely on:


Legitimate interests: It is in TRS Training’s legitimate interests to operate the RHA Skills service, respond to enquiries, provide relevant information and advice, maintain appropriate business records, protect the website and develop its services. We consider and balance these interests against your rights and reasonable expectations.


Steps before entering into a contract or performance of a contract: Where you ask us to provide training or another service, we may need to use your information to take steps at your request or to perform a contract with you or your organisation.

Legal obligation: We may process information where this is necessary to comply with a legal or regulatory obligation.


Providing information through the enquiry form is voluntary. However, if you do not provide the information marked as required, we may be unable to respond properly to your enquiry.


5. Marketing communications

Submitting an enquiry does not automatically mean that you have agreed to receive unrelated marketing communications.


We may contact you about the specific service, training opportunity or subject you have asked us about. Where the law requires consent for further electronic marketing, we will ask for it separately.


You may ask us to stop sending marketing communications at any time by using the unsubscribe option in a message or emailing info@trstraining.net.


You have an absolute right to object to your personal information being used for direct marketing. If you object, we will stop using it for that purpose.


We may retain minimal information on a suppression list to ensure that your marketing preference continues to be respected.


6. Sharing your information

TRS Training may share personal information where necessary with:

  • staff and authorised representatives of TRS Training; 
  • organisations that provide services to TRS Training, including website hosting, IT,      communications, analytics, customer-management and administrative services; 
  • training, funding or delivery partners where this is necessary to address your enquiry or provide a requested service; 
  • professional advisers, auditors, regulators, public authorities or law-enforcement  bodies where required; and 
  • a  purchaser, successor or adviser in connection with a proposed sale, merger      or restructuring of TRS Training. 

We will only share your enquiry information with the RHA where this is necessary for a clearly explained purpose, where you would reasonably expect us to do so, or where we have obtained any consent that is required. If the RHA receives information as an independent controller, its own privacy information will apply to its subsequent use of that information.


We do not sell personal information collected through the RHA Skills website.


Where another organisation processes information on our behalf, we require it to protect the information and use it only in accordance with our instructions and applicable data protection law.


7. International transfers

Some website, IT, hosting or communications providers may process personal information outside the United Kingdom.


Where personal information is transferred internationally, TRS Training will ensure that an appropriate legal safeguard is used. This may include transferring information to a country covered by UK adequacy regulations or using an approved contractual safeguard. You may contact us for further information about the safeguards relevant to your information.


8. How long we retain your information

Personal information collected through the RHA Skills website in connection with an enquiry will be retained for the period needed to respond to and service that enquiry and for six months after that service or contact ends. It will then be securely deleted or anonymised unless there is a legal requirement or another lawful reason to retain particular information.

For these purposes, service or contact will normally be regarded as having ended when:

  • your enquiry has been resolved or closed; 
  • you tell us you no longer wish to proceed; or 
  • there has been no further relevant contact and TRS has closed the enquiry. 


If your enquiry results in you becoming a learner, apprentice, employee, employer customer or other contracted service user, relevant information may be transferred to an appropriate TRS Training record. That record may need to be retained for a longer period to meet contractual, education-funding, audit, safeguarding, regulatory or legal requirements. Where this happens, the applicable TRS Training privacy information and retention requirements will apply.


We may also retain limited information where necessary to establish, exercise or defend legal claims, comply with the law, or record that you have opted out of marketing.


9. Cookies and website services

The RHA Skills website may use cookies and similar technologies to:

  • enable the website to operate; 
  • protect it from misuse; 
  • remember visitor preferences; 
  • measure website use and performance; and 
  • support other optional website features.

The enquiry form is protected by Google reCAPTCHA. Google’s privacy policy and terms apply when this service is used.

  • ask for confirmation that we process your personal information; 
  • obtain a copy of your personal information; 
  • have inaccurate or incomplete information corrected; 
  • request deletion of your information;

  • withdraw consent where processing is based on consent; and
